Employee

An employee record in AuditorTax is a person working for one of your employers — it holds their personal details, statutory IDs (PAN, Aadhaar, UAN, ESIC number), bank details, and salary structure. Payroll, payslips, and statutory filings like EPF, ESI, and Professional Tax are all calculated from this record, so it needs to exist before that employee can be paid through AuditorTax. This is for anyone managing an employer’s workforce — a Chartered Accountant onboarding a client’s staff.

You need an employer already set up in AuditorTax — every employee belongs to exactly one employer. The sidebar’s “Employees” link always shows employees for whichever employer is currently selected (shown at the top of the sidebar). You’ll also need the employee’s first name, last name, and date of joining — the only fields required to create one.

AuditorTax gives you five ways to get an employee into the system. All five are reached from the Employees list of the employer you have selected:

  • Add Employee — a step-by-step form for entering one employee’s details by hand. Use this when you’re onboarding a single new joiner. This is the method covered in Creating an Employee, in detail.
  • Import (CSV/Excel) — bulk-creates many employees at once from a spreadsheet you fill in yourself, using AuditorTax’s own template. Use this when you’re onboarding a client’s whole existing workforce in one go, rather than one person at a time. Covered in Bulk-Importing Employees.
  • ESIC Import — bootstraps employees from an ESIC contribution statement downloaded from the ESIC Employer Portal, for an employer already registered with ESIC.
  • ECR Import — bootstraps employees from an ECR (Electronic Challan-cum-Return) file, the same kind of file used for PF challan filing. Covered in Importing Employees from an ECR File.
  • EPFO Members Import — bootstraps employees from a member list exported from the EPFO employer portal.

Add Employee and the general CSV/Excel Import both create the employee as ACTIVE immediately, while ECR Import creates them as PENDING_REVIEW instead — see each section’s Outcome for what that means. Also, per the Notes at the end of this document, two of the bootstrap options — ESIC Import and EPFO Members Import — were found broken during this walkthrough and could not be completed.
